Procedures for Taking Leave of Absence

(1) Application for Leave of Absence (for Postgraduate Studentship Holders)

- 14 working days with pay per academic year.
- Leave year equivalent to University academic year. Those who commence studies after the start of academic year is given leave on a pro-rata basis.

- Medical certificate required.
- Leave calculated on calendar day basis following University provisions.

In-residence Leave
|

- Applicable to those who wish to attend conference, data collection for research and other academic purposes.
- Total “Paid” in-residence leave is up to a maximum of 20% of the normative study period.
- For each application to attend conference, the maximum period allowed is up to 3 days plus the conference period.
- Students are advised to take leave during the semester break or summer period. For leave period falling into the semester that with TA duty assigned, students should communicate with the course teacher to make proper arrangement on the assigned TA duties, and report the arrangement to the Division Office.
- Supporting documents must be attached.

- For personal reason or illness necessitating absence.
- Leave with PGS suspended.
- Leave of absence is limited to a maximum of one year in the first instance, and any extension is limited to one more year, beyond which no further extension will be granted, unless approval from the Graduate Council is obtained in special cases.

(2) Application for Leave of Absence (for Non Postgraduate Studentship Holders)

- Leave of absence is limited to a maximum of one year in the first instance, and any extension is limited to one more year, beyond which no further extension will be granted, unless approval from the Graduate Council is obtained in special cases.

Notes:
- In case of illness necessitating absence exceeding three weeks, a student should submit an application together with a medical certificate signed by the Director of the University Health Service or a registered medical practitioner(s) to obtain endorsement from the Graduate Division concerned and permission from the Dean of the Graduate School.
- A student who has been absent without leave or who is in breach of the residence requirements for a continuous period exceeding one month will be considered as having withdrawn from studies.
