What is the difference between Official Copy and Student Copy of the Transcript of Academic Record?
“Official Copy” and “Student Copy” of transcript are both official documents of the University which serve different purposes. “Official Copy” is to be sent directly to the institutions or prospective employers. Applicants should apply for a “Student Copy” if the transcript is for personal use/retention. The information contained in the “Official Copy” and “Student Copy” transcript is the same, and both have the University seal and signature of responsible officer. The only difference is that “Student Copy” will be marked on the transcript if it is for applicant's personal use / retention.

May I request a letter certifying the medium of instruction at the University is in English?
As CUHK is a bilingual university, the letter of certification will certify, in general, that courses were taught in English and/or Chinese (except cases on the contrary). Please contact our Section by email (This email address is being protected from spambots. You need JavaScript enabled to view it.) if applicants need to provide certification for specific purposes. Such requests can only be dealt on a factual basis and will need longer processing time.

I have to insert documents together with my applications and I need to put the transcripts in sealed envelopes, what should I do?
If the applicants need to include the transcript specified form from the university / institution to be completed by our University, they MUST upload the related document(s) during submission of the application at the same time. Besides, some universities may request for completed hardcopy transcript to be enclosed in sealed envelope and return back to the applicants, and applicants should inform our Section by email before submitting the application.

May I request the copy of document sent by e-mail?
Applicants may request for sending the completed document by e-mail in the format of scanned document. For e-Copy transcript (Official Copy) and e-Copy Letter of Certification, it will be sent as a PDF file by e-mail. Please indicate CLEARLY the email address, the name of the university / institution and the purpose of the application. Applicants must check on their own very carefully whether the recipient accepts the document as an email attachment. If the applicants indicate their own email address for e-Copy transcript (Official Copy), application will be handled as “Student Copy” without further communication.
If e-Copy transcript (Student Copy) is requested, the applicants need to download the copy from MyCUHK when the application is completed and print the copy on their own for self-retention purpose. Current students may consider downloading the unofficial transcript under CUSIS if deemed appropriate.

Can I cancel my application after submission?
Once the applications have been completed, applicants are not allowed to change or cancel their applications. They should submit the application again if there are any changes in their applications. Please enquire application progress by using the function “Enquire Application Progress” on RES homepage, or for transcript (both e-copy/hardcopy) and e-copy letter of certification, check “View Application Status” in “e-Copy/Hardcopy Transcript Application” and “e-Copy Letter of Certification Application” functions under MyCUHK. The system will mark “Completed” if processing has been finished.

May I request for collection of the documents in person?
During the COVID-19 outbreak, it may not be advisable to collect the documents in person at our counter. Please choose to receive the documents either by mail or by e-mail or downloading from MyCUHK (for e-Copy transcript (Student Copy)).
