Graduation assessment will be conducted when students are about to reach the expected graduation date. The process is as follows:
To avoid large-crowd gathering under the pandemic situation in collection of the certificate on campus, graduates are encouraged to use an online application system under CUSIS after your respective degree conferment date to request the University to send the graduate certificates by Speedpost.
Graduates should read the Notes for Application before submitting the application. The fee for delivery of graduate certificate (Speedpost) is as follows.

Extended Processing Time for Sending Graduate Certificate by Speedpost
In view of the worsening risk of the spread of COVID-19, the University announced on 30 November special work arrangements that will be implemented from 2 December 2020. Each department/unit will review and maintain essential and necessary services. Except for those staff providing essential and necessary services, staff members whose work permits offsite handling will work on shift or work from home. This temporary arrangement will last for two weeks until 15 December and the University will closely monitor and review the situation as appropriate. In this respect, the processing time for sending graduate certificate by Speedpost will inevitably be lengthened.
Applicants are strongly advised to check the HongKong Post homepage about updates on postal services, i.e., types of services currently available to local/overseas destinations and suspension of mailing services to certain destinations (https://www.hongkongpost.hk/en/about_us/whats_new/notices/index.html) and its estimated delivery time here.
Please understand that the Graduate School Office has been receiving a large volume of requests for sending graduate certificates by Speedpost, while at the same time handling graduates requests for collecting graduate certificates in person or by an authorized person at its service counter for the period until the first week of December. Graduates who wish to use courier services other than our designated Speedpost of the HongKong Post are advised to note those requests will be processed after 11 December 2020 i.e. our Office will start replying your order sent to our email account (gradschool@cuhk.edu.hk) and provide advice on the relevant procedures after the said date.
The University accepts no responsibilities for any loss/defacement and delay of the graduate certificate during postal delivery by the Speedpost or other courier services.
In view of the continuing surge of confirmed cases and the spread of COVID-19, the University is obliged to take further precautionary measures to safeguard the health and well-being of its members. The Graduate School Office now adopts a special work arrangement. Starting from 24 November 2020 until further notice, the Graduate School provides limited counter services on every Tuesday and Thursday: 8:45am – 1:00pm and 2:00pm – 5:30pm.

^ If you have lost/do not have a HKID card, please provide a copy of your passport. The name and date of birth printed thereon should be the same as your registration record.
If you are unable to collect the graduate certificates in person, you may authorize a person to do so on your behalf and bring along the following documents:
(1) A “Letter of Authorization for Collection of Graduate Certificate” with both Sections and B completed;
(2) a photocopy of your HKID* (picture and text must be clearly shown); and
(3) the authorized person’s ID document (identification details should match with that on the “Letter of Authorization for Collection of Graduate Certificate”).

Students with outstanding debts to the University
Clauses 15.3 and 15.4 of the General Regulations Governing Postgraduate Studies stipulate that
“The Graduate Certificate shall be issued to a student after s/he has been conferred a degree at the Congregation. Graduate Certificates for graduates with outstanding debts to the University will be withheld until the accounts are settled. Graduate Certificates for graduates of Postgraduate Diploma/Certificate programmes with outstanding debts to the University will be withheld until the accounts are settled.”
If graduates have any outstanding items, e.g. unreturned library materials, late payment penalty, etc., please settle them with relevant offices as soon as possible.
The graduate certificate is an important and unique University document. Please keep it in a safe place.
FAQ (Graduation)
1. Is it required for graduating students to apply for graduation?
No, students do not have to apply for graduation. When students are about to reach the expected graduation date and after the grade for all courses taken have been released, the Graduate School will conduct graduation assessment for the students. If the student fulfils all graduation requirements of the programme (including course work, etc.), he/she will be recommended for graduation. If a student wishes to be considered for graduation before the normative study end date, he/she should apply for shortening of normative study period. The application form can be downloaded at GS Platform (Students).
2. After completion of study, is it necessary to apply for certifying letter and/or transcript?
A complimentary set of certifying letter and full transcript (student copy) will be sent to student after the recommendation for graduation is endorsed by the Graduate Council. Students who wish to obtain additional copy of transcript and/or certifying letter may submit applications at the section "Request Official Documents".
3. How long does it take to receive the complimentary set of certifying letter and full transcript?
Normally, the complimentary set of certifying letter and full transcript will reach students about 2 months after fulfilment of all graduation requirements (i.e. after release of grades for all courses taken).
4. Is it possible to speed up the graduation process or obtain the proof of graduation sooner?
The Graduate School will process the graduation assessment and issue the proof of graduation to students as soon as possible. Frequent enquiry to the Graduate School and Graduate Division on the progress may slow down the process.
5. The Immigration Department requires a certifying letter from CUHK as supporting documents for application of IANG (Immigration Arrangement for Non-local Graduates) entry permit. Is it possible to obtain a certifying letter before receiving the complimentary copy?
Students may apply for a certifying letter to apply for IANG after the recommendation for graduation is endorsed by the Graduate Division (i.e. after Step 4). Students may wish to check with Graduate Division on the progress of graduation assessment before applying for the certifying letter.
6. How will the complimentary set of certifying letter and transcript be sent?
Normally, the complimentary set of certifying letter and transcript will be sent to students by registered mail. To ensure proper delivery, please check and update the contact information in MyCUHK portal.
7. What will happen if I am unable to fulfil all graduation requirements by the expected graduation date?
Students who are unable to graduate will be informed of the result of graduation assessment accordingly. Students who are required to continue with their studies will be asked to renew their student ID card.
8. When will the graduate certificate be issued? How will it be sent to me?
The graduate certificates will be issued after the Congregation which is held in November/December each year. Students will be informed of the details of Congregation, graduation ceremony and collection of graduate certificate in October/November. Students may refer to the Congregation website for details.
9. I graduated in previous year but I was unable to collect the graduate certificate myself. How can I collect the graduate certificate?
You can collect your graduate certificate in person during our office hours. If you are unable to collect it by yourself and would like to collect it by proxy, please ask your representative to come during our office hours by presenting the following documents:
(1) A “Letter of Authorization for Collection of Graduate Certificate” with both Sections A & B completed;
(2) A photocopy of your HKID card (picture and text must be clearly shown). If you do not have a HKID card, please present your passport or other ID document, the name and date of birth printed thereon must match with those in your student record, for verification; and
(3) Your representative’s ID document (identification details should match with that on the “Letter of Authorization for Collection of Graduate Certificate”).
