Collection of Graduate Certificates

for Graduates of Postgraduate Programmes in 2020

In light of the increasing health risks and upon the advice from the Committee on Health Promotion and Protection, as well as prudent risk assessment by the University management with input from all Colleges and Faculties, the University has decided, regretfully, that the 89th Congregation (for the Conferment of Doctoral Degrees) will be moved online. Please refer to announcements by our Communications and Public Relations Office for the most updated information.

Further to the aforementioned announcement on 13 November 2020, the arrangements for the collection of graduate certificates of the academic year 2019-20 are revised as below.

 

A. Request the University to send the graduate certificate by Speedpost
To avoid large-crowd gathering under the pandemic situation in collection of the certificate on campus, graduates are encouraged to use an online application system under CUSIS after your respective degree conferment date to request the University to send the graduate certificates by Speedpost.


Graduates should read the Notes for Application before submitting the application.  The fee for delivery of graduate certificate (Speedpost) is as follows.

Extended Processing Time for Sending Graduate Certificate by Speedpost

 

In view of the worsening risk of the spread of COVID-19, the University announced on 30 November special work arrangements that will be implemented from 2 December 2020. Each department/unit will review and maintain essential and necessary services. Except for those staff providing essential and necessary services, staff members whose work permits offsite handling will work on shift or work from home. This temporary arrangement will last for two weeks until 15 December and the University will closely monitor and review the situation as appropriate. In this respect, the processing time for sending graduate certificate by Speedpost will inevitably be lengthened.

 

Applicants are strongly advised to check the HongKong Post homepage about updates on postal services, i.e., types of services currently available to local/overseas destinations and suspension of mailing services to certain destinations (https://www.hongkongpost.hk/en/about_us/whats_new/notices/index.html) and its estimated delivery time here.

 

Please understand that the Graduate School Office has been receiving a large volume of requests for sending graduate certificates by Speedpost, while at the same time handling graduates requests for collecting graduate certificates in person or by an authorized person at its service counter for the period until the first week of December. Graduates who wish to use courier services other than our designated Speedpost of the HongKong Post are advised to note those requests will be processed after 11 December 2020 i.e. our Office will start replying your order sent to our email account (gradschool@cuhk.edu.hk) and provide advice on the relevant procedures after the said date.

The University accepts no responsibilities for any loss/defacement and delay of the graduate certificate during postal delivery by the Speedpost or other courier services. 

 

B.  Collect the graduate certificates in person

 

1. Collection of graduate certificates in person on degree conferment day


Graduates who have urgent needs to collect the graduate certificate(s) on their degree conferment date can collect their certificates after the online ceremony by presenting the original HKID card^ at the time and venue listed below.

2. Collection of graduate certificates in person after degree conferment day

 

In view of the continuing surge of confirmed cases and the spread of COVID-19, the University is obliged to take further precautionary measures to safeguard the health and well-being of its members. The Graduate School Office now adopts a special work arrangement. Starting from 24 November 2020 until further notice, the Graduate School provides limited counter services on every Tuesday and Thursday: 8:45am – 1:00pm and 2:00pm – 5:30pm.

Please remember to bring along your HKID card* when you come to collect your graduate certificate.

Notes:
^ If you have lost/do not have a HKID card, please provide a copy of your passport.  The name and date of birth printed thereon should be the same as your registration record. 

 

C.   Collect by an Authorized Person

If graduates are unable to collect the graduate certificates in person, they may authorize a person to do so on their behalf. Please complete the “Letter of Authorization for Collection of Graduate Certificate” and present it with the following identification documents:

-          A photocopy of the graduate HKID/passport document^ for verification purpose

-          The original copy of the HKID card/Passport of the authorized person

           (The authorized person will need to sign to acknowledge receipt of the graduate certificate for the graduate.)

Students with outstanding debts to the University

Clauses 15.3 and 15.4 of the General Regulations Governing Postgraduate Studies stipulate that

 

“The Graduate Certificate shall be issued to a student after s/he has been conferred a degree at the Congregation. Graduate Certificates for graduates with outstanding debts to the University will be withheld until the accounts are settled. Graduate Certificates for graduates of Postgraduate Diploma/Certificate programmes with outstanding debts to the University will be withheld until the accounts are settled.”

 

If graduates have any outstanding items, e.g. unreturned library materials, late payment penalty, etc., please settle them with relevant offices as soon as possible.
