Application for Certifying Letter
- A certifying letter is an official document which certifies the qualification(s) awarded to a graduate or the programme a student is studying. In addition to the above information, students/graduates may request certification for the following:
- For certifying the expected graduation term
- To HKSAR Immigration Department for extension of student visa
- For certifying the medium of instruction of the University#
Applicants should state clearly their specific purpose in the application. However, the University cannot certify personal and academic information not on the student records.
# As CUHK is a bilingual university, the certification letter will certify, in general, that courses were mostly taught in English and/or Chinese (except cases on the contrary). Please contact our Section by phone (852-3943 8965) or email (This email address is being protected from spambots. You need JavaScript enabled to view it.) if applicants need to provide certification for specific purposes. Such requests can only be dealt on a factual basis.
- Fee Schedule:
Fee per single copy, including postage of local or ordinary air mail is HK$40 (e.g. if you apply for 2 copies of certifying letter, the payment should be HK$80). If you require other postal services, please add additional charges as follows:
Registered Mail HK$15.5
- Application and Payment Methods:
- Submit via Internet under “Applications” of RES homepage (http://www.res.cuhk.edu.hk/). Applicants may check the despatch date of the certifying letter if they submit their applications via the Internet.
Payment can be made by credit card. Please note below if applicants do NOT choose to pay by credit card.
Payment by ATM (ONLY applicable to students admitted in 1986 and thereafter):
- ATM Bill Type “02”; please input your student ID no. of the undergraduate programme as bill payee account no., i.e., 10-digit USID “1009xxxxxx”, or previous 8-digit USID e.g. “05123454”.
- For applicants who do not choose the above electronic payment, please submit the application in person or by mail by filling in the application form and address slip (please download the forms at RES homepage), and payment can be settled by bank draft or crossed cheque made payable to “The Chinese University of Hong Kong”.
- Students of MB ChB programme, postgraduate students and students of International Asian Studies Programme (IASP) should enquire at / submit applications to the Faculty Office of Medicine, the Graduate School and the Office of Academic Links respectively.
- Submit via Internet under “Applications” of RES homepage (http://www.res.cuhk.edu.hk/). Applicants may check the despatch date of the certifying letter if they submit their applications via the Internet.
- Processing Time:
Normal processing time is 3-5 working days upon receipt of application form and payment. Some may take longer processing time if student records of the applicants were not computerized.
- Despatch Methods:
Certifying letters may be:
l sent directly to institutions or to the applicants, according to the information provided by the applicants, or
l collected in person, or by an authorized person and in this case, the applicant must submit an authorization letter stating the HKID Card/Passport No. of the authorized person together with the photocopy of the applicant's HKID Card/Passport for verification. Uncollected document will be destroyed 1 year after the application date.

Application for Certifying Letter

Postal delivery
Certifying letter is to be sent directly by local or ordinary air mail or registered mail according to the mailing address provided by the applicants. Please indicate CLEARLY the name of the recipient, the mailing address and the purpose of the application in the Online Application System.

e-Copy / Soft copy
Applicants may request for sending the certifying letter by email in the format of scanned document. Please indicate CLEARLY the email address, the name of the recipient and the purpose of the application in the Online Application System.
No hardcopy of the certifying letter will be sent again if applicants apply for e-copy / soft copy to be sent by email to their own email address or the recipient’s email address. Applicants must check on their own very carefully whether the recipient accepts the scanned copy of the certifying letter.
Note:

Once the applications have been completed, applicants are not allowed to change or cancel their applications (see point 4b below). They should submit the application again if there are any changes in their applications.

Processing Time:

Normal processing time is 3-5 working days upon receipt of the Online Application Form. Some applications may need longer processing time if student records of the applicants were not yet computerized during their period of study.

Please enquire application progress using the function “Enquire Application Progress” under our homepage. The system will mark “Application Completed” if processing has been finished.

Application for Transcript of Academic Record
- Applicants may apply for official copy and student copy of transcript. Official copy is to be sent directly to the institutions or prospective employers in accordance with the application submitted. Applicants should apply for a student copy if the transcript is for personal use.
Transcripts in Chinese version are available. However, applicants MUST notify our Section by phone (852-3943 8965) or email (This email address is being protected from spambots. You need JavaScript enabled to view it.) within the first day of submitting the application of this special requirement. Longer processing time may be required.

Application for Transcript of Academic Record

Applicants may apply for “Official Copy” and “Student Copy” of transcript. “Official Copy” is to be sent directly to the institutions or prospective employers. Applicants should apply for a “Student Copy” if the transcript is for personal use/retention. Applicants may also specify the purpose of application in the Online Application System.
Transcripts in Chinese version (only applicable to applicants who graduated in 2011 and thereafter) are available. However, applicants MUST notify our Section by email (This email address is being protected from spambots. You need JavaScript enabled to view it.) within the first day of submitting the application of this special requirement. Longer processing time is required.
If the applicants need to include with the transcript specified form from the university / institution to be completed by the University, they should bring the form to our Section for further inclusion, preferably in person, BEFORE submission of the application in the Online Application System. Besides, some universities may request for completed transcripts to be enclosed in sealed envelope and return back to the applicants, applicants should inform our Section before submitting the application. For applicants with these special requests, they should submit the application in person, preferably at our office.

Postal delivery
Completed transcript is to be sent directly by local or ordinary air mail or registered mail according to the mailing address provided by the applicants. For “Official Copy”, please indicate CLEARLY the name of the university / institution, the mailing address and the purpose of the application in the Online Application System. Otherwise, the application may take longer time to be processed since clarification is required.

e-Copy / Soft copy
Applicants may request for sending the completed transcript by email in the format of scanned document. For “Official Copy”, please indicate CLEARLY the email address, the name of the university / institution and the purpose of the application in the Online Application System. If the applicants indicate their own email address as the receiving email address, the completed transcript will be emailed with “Student Copy” marked onto it.

Applicants must check on their own very carefully whether the recipient accepts the scanned copy of the completed transcript.
