Re: Important Messages for Graduating Students in 2020-21
Dear Students,
Students who are expected to graduate in 2020-21 MUST check their expected graduation term (EYG) at “Profile” > “My Academics” under CUSIS. Please make sure the record is “2020-21 Term 1” or “2020-21 Term 2” which indicates the term for your graduation assessment. Please see point 6 below if you need to change the EYG.
For students whose EYG is 2020-21 Term 1, please take note of the following and take appropriate action(s), if necessary. For detailed information and the related application forms, please refer to “Important Information for Graduating Students in 1st term 2020-21” under the homepage of the Registration and Examinations Section (RES).
Students whose EYG is 2020-21 Term 2 should follow the procedures that will be announced in January 2021.
- Check Course Fulfillment for Graduation
Please select “Academic Progress” > “My Academic Requirements” under CUSIS to run the “Academic Advisement Report” to check if you have any outstanding requirement for graduation. Except some major/minor programmes with specific requirements (please refer the list of programmes under “Important Information for Graduating Students in 1st term 2020-21” of RES homepage), the report generated by CUSIS should serve as a general reference whether a student has fulfilled all the requirements for graduation.
Students should always refer to the updated study schemes of individual programmes and the relevant regulations applicable to their studies which are available at the online Undergraduate Student Handbook of the Academic and Quality Section of the Registry in checking their graduation fulfillment

Application period: 12 - 30 October 2020
Some study programmes specify that their major students should declare concentration area(s)/stream(s) and such concentration area(s)/stream(s) are to be recorded on students’ academic transcripts. Please refer to the document “Declaration/Change of Concentration(s)/Stream(s)” on RES homepage and take actions, as appropriate. - Declare/Check fulfillment of Minor Programme
Application deadline under CUSIS: 31 December 2020
Please check the course fulfillment for the minor programme(s) (if already declared) using the “Academic Advisement Report” under CUSIS. If it is necessary to make changes, e.g. drop minor or add new minor(s), please make appropriate application(s) under CUSIS using “Application for Program Change” by the above deadline. For details, please refer to the document “Declaration/Change of Minor(s) (2020-21)” on RES homepage. - Course Substitution and Course Exemption
Deadline for form submission: 4 December 2020
Students should follow the study schemes specified in the online Undergraduate Student Handbook for fulfillment of graduation requirements. However, under special circumstances listed below, students need to submit the relevant application form (which can be downloaded from RES homepage) for update of their graduation requirements under CUSIS.- Course Substitution: For students who cannot take the specified course in the major/minor study scheme and need to use another relevant course to substitute for that course, they should complete the form “Application for Course Substitution of Major/Minor Course” and seek approval from relevant departments.
- Course Exemption of Required Course(s): For students who have been approved for course exemption ONLY for the required major/minor course, they should complete the form “Application for Using Other Course to Fulfil Required Major/Minor Unit Requirement” to seek approval from relevant departments to make up the specified units in the required study scheme.
- Course Substitution: For students who cannot take the specified course in the major/minor study scheme and need to use another relevant course to substitute for that course, they should complete the form “Application for Course Substitution of Major/Minor Course” and seek approval from relevant departments.
- Outstanding Requirements for Graduation
RES will conduct graduation check on course fulfillment for graduating students. Students with unfulfilled graduation requirements will receive a notification by email from RES around early December 2020 stating the outstanding graduation requirements.
However, for students who fail to declare the required concentration/stream by the specified deadline (i.e. 30 October 2020), students concerned should note that they should ensure their timely completion of the graduation requirements on their own. - Application for Change of Expected Graduation Term
For students who cannot fulfill all graduation requirements on time, they should download the form “Application for Change of Expected Graduation Term” on RES homepage to apply for change of expected graduation term by the specified deadline. - Check Major GPA and Major Upper GPA
Students can also check their updated Major GPA and Major Upper GPA in the “Academic Advisement Report” under CUSIS after the release of 1st term academic results. Please refer to relevant Regulations under the online Undergraduate Student Handbook in checking graduation requirements. - Important Information
Please be reminded that the “Academic Advisement Report” generated by CUSIS only serves as a general reference. System logic on checking fulfillment and other technical issues may affect the accuracy of the report. Besides, course exemptions or requirements stipulated for individual students (e.g. some students are given permission by departments to fulfill one required course by another course) may also affect the results. Therefore, the results of graduation assessment performed by the University shall be regarded as final.
